Health and Safety policy

Health and Safety Policy for Man and Van Aldersbrook

Man and Van Aldersbrook is committed to providing a safe and healthy working environment for our employees, contractors, customers, and members of the public who may be affected by our removal and delivery activities. This Health and Safety Policy sets out our approach to managing risks associated with moving, handling, transporting, loading, and unloading goods in domestic and commercial settings.

Our Health and Safety Commitment

We aim to prevent accidents, injuries, ill health, and damage to property by planning our work carefully and implementing safe systems of work. Health and safety considerations are integral to all our moving and transport operations, whether we are carrying out a small man and van job or a more complex relocation.

Roles and Responsibilities

Management is responsible for ensuring that appropriate health and safety procedures are developed, communicated, implemented, monitored, and reviewed. This includes providing suitable equipment, training, and supervision for staff who carry out lifting, packing, loading, and driving tasks.

All employees and contractors working on behalf of Man and Van Aldersbrook must take reasonable care of their own health and safety and that of others who may be affected by their actions. They must follow all safety instructions, use provided equipment correctly, and immediately report hazards, incidents, and near misses to management.

Customers have a responsibility to inform us of any known hazards at collection and delivery addresses, such as restricted access, unsafe flooring, poor lighting, or structural issues that could affect the safety of moving goods.

Risk Assessment and Planning

Before each removal or delivery job, we assess the risks associated with the premises, access routes, items to be moved, and any special requirements. Where appropriate, we may complete a site-based assessment upon arrival to identify hazards such as stairs, steps, uneven ground, narrow corridors, low ceilings, or heavy and awkward items.

From these assessments, we plan suitable methods of work, determine the correct number of staff needed, and decide whether any additional equipment or controls are required to complete the job safely. If a job cannot be completed safely with the resources available, we reserve the right to stop work and discuss alternative arrangements with the customer.

Manual Handling and Lifting

Manual handling is a core part of our removal services and is a significant source of potential injury. We are committed to reducing manual handling risks by:

Providing guidance and instruction on safe lifting and carrying techniques, including team lifting for heavy or bulky items.

Using suitable handling aids where possible, such as trolleys, dollies, straps, and blankets, to reduce strain and protect both staff and customer property.

Avoiding unnecessary lifting by planning efficient routes and positioning vehicles as close as reasonably practicable to premises.

Ensuring that staff do not attempt to lift or move items they believe are beyond their safe capability. In such cases, we will reassess and, where necessary, adjust the plan for the job.

Vehicle Safety and Loading

Our vehicles are maintained in a safe and roadworthy condition in line with manufacturer guidance and relevant legal requirements. Drivers are responsible for carrying out basic pre-use checks and reporting defects immediately.

Loading and unloading are carried out to ensure stability, weight distribution, and security of items in transit. We use appropriate securing methods, such as straps and padding, to prevent movement and damage during transport. Staff must keep loading areas clear of trip hazards, use safe reversing and parking practices, and remain aware of other road users and pedestrians when operating in residential streets and busy urban areas.

Use of Equipment and Protective Measures

Where equipment is provided, such as handling aids or protective gear, it must be used correctly and maintained in good condition. Any defects or concerns must be reported immediately and the equipment taken out of use if it is unsafe.

Where appropriate, staff may use protective measures such as suitable footwear, gloves, and high-visibility clothing to reduce the risk of injury, particularly when working in low-light conditions or near vehicular traffic.

Customer Premises and Public Safety

We aim to minimise disruption and maintain a safe environment at both collection and delivery locations. This includes keeping access routes as clear as reasonably possible, managing cables, tools, and packing materials to reduce trip or slip risks, and avoiding obstruction of public pathways and entrances where feasible.

We will take care to protect floors, walls, and doorways using appropriate materials where reasonably practicable, but customers should inform us of delicate surfaces or fixtures before work begins.

Incident Reporting and Emergency Procedures

All accidents, injuries, near misses, and significant property damage incidents must be reported to management as soon as possible. We will investigate incidents to identify root causes and implement corrective actions to prevent recurrence.

In the event of an emergency such as fire, serious injury, or dangerous structural issue, the safety of people will always take priority over property or schedules. Staff must follow any relevant emergency procedures, including evacuation and contacting emergency services when necessary.

Training, Information, and Supervision

We provide our staff with appropriate instruction in safe working practices relevant to removal and delivery operations. This may include manual handling, safe loading techniques, vehicle use, and hazard awareness. New or less experienced staff will be supervised and supported until they are competent to work more independently.

We keep our procedures under review and provide updated information where changes in equipment, work methods, or legal requirements affect health and safety.

Policy Review and Continuous Improvement

This Health and Safety Policy is reviewed regularly and revised as necessary to reflect changes in our operations, lessons from incidents, and developments in best practice. Feedback from staff and customers is welcomed and considered as part of our ongoing effort to improve safety standards in all Man and Van Aldersbrook services.

By engaging us to carry out removal or delivery work, customers acknowledge and support our commitment to safe working practices and agree to cooperate with any reasonable safety measures we implement on site.
